Privacy Policy

Worldwide privacy policy describing how Youanai handles personal data across its websites, products, AI workflows, and connected services.

1. Scope and responsible entity

This Privacy Policy describes how Youanai Technologies, LLC, a Texas limited liability company located in Georgetown, Texas 78628, USA, handles personal data for Youanai websites, products, workspaces, support mailboxes, connected accounts, SMS, AI features, and MCP clients worldwide.

It applies to business users, individuals using the Services personally, website visitors, prospects, and people who contact Youanai. Customer-provided data may also relate to a customer's contacts or end users.

2. Controller and processor roles

Youanai generally acts as a controller for account administration, billing, security, product analytics, marketing, website operation, support provided to Youanai customers, and compliance. A business customer generally acts as controller and Youanai as processor when the customer submits or connects personal data for Youanai to process on the customer's instructions, such as support-mailbox, social-account, campaign, contact, or workspace content.

An applicable DPA governs processor activities. The actual workflow and applicable law determine each party's role.

3. Data categories and sources

Sources include you, workspace administrators, connected services you authorize, payment and authentication providers, devices and browsers, service logs, and people who communicate through a connected customer workflow.

  • Account and organization data: name, email, profile, login method, workspace membership, role, preferences, and administrator actions.
  • Customer Content: prompts, responses, posts, content drafts, captions, Business DNA, brand assets, media, uploads, comments, campaigns, analytics summaries, and workflow settings.
  • Connected-platform data: OAuth grants and tokens, account identifiers, permissions, social content and analytics, mailbox addresses, message headers and bodies, snippets, attachment metadata, replies, thread metadata, sync state, and audit events when authorized.
  • AI and MCP data: prompts, responses, client identity, requested scopes, selected workspaces, tool calls, rate-limit events, audit state, and revocation state.
  • Transaction and support data: plan and payment status received from payment processors, invoices and transaction references, support requests, feedback, and communications.
  • Device and usage data: IP-derived request information, timestamps, browser or device attributes, page and feature interactions, diagnostics, security events, and tracker identifiers.
  • SMS data: phone number, consent and opt-out records, delivery metadata, and message content when you use SMS features.

4. Purposes and legal bases

Where consent is the basis, you may withdraw it without affecting processing that occurred before withdrawal. You may object to processing based on legitimate interests where applicable law gives you that right.

  • Provide requested Services and manage accounts, workspaces, subscriptions, connected services, and support — contract performance or steps requested before a contract.
  • Authenticate users, prevent abuse, secure systems, diagnose failures, enforce limits, and maintain reliability — legitimate interests and, where applicable, legal obligations.
  • Process payments, maintain required business records, respond to lawful requests, and enforce rights — contract performance and legal obligations.
  • Operate analytics, improve product reliability, and understand feature use — legitimate interests where permitted and consent where required.
  • Send requested product, account, support, and SMS communications — contract performance, legitimate interests, or consent depending on the message and jurisdiction.
  • Send marketing and use advertising technologies — consent or another lawful basis where permitted.
  • Protect vital interests, investigate fraud, and establish or defend legal claims — vital interests, legitimate interests, or legal obligations as applicable.

5. AI processing and connected services

Customer Content may be stored by Youanai and sent to AI or media providers to perform a workflow you request. Providers process that data under their terms and Youanai's arrangements with them.

OAuth connections are limited to permissions you approve. You may disconnect services in Youanai where controls exist and may also revoke access with the provider. Disconnecting a service stops intended new access but does not automatically delete content already stored in Youanai. Contact [email protected] to request deletion where applicable.

6. Google Workspace and Gmail Limited Use

When you connect Gmail to Youanai Desk, Gmail-derived data is used to sync support conversations, generate summaries or reply suggestions you request, send replies you approve or send eligible replies automatically under rules you configure, and derive workspace support guidance from selected sent replies when that feature is enabled. Gmail-derived content may be processed by an AI provider only to provide the requested workspace feature.

Youanai does not use Google Workspace API data for advertising or generalized AI-model training. Use of data received from Google Workspace APIs is subject to the Google API Services User Data Policy, including Limited Use requirements.

7. Cookies, analytics, and advertising technologies

Youanai uses cookies and similar technologies for authentication, security, preferences, analytics, performance, campaign measurement, and advertising. Technologies used across Youanai may include Google Tag Manager, Google Analytics, Google Ads, PostHog, and Leadsy.

These technologies may collect device, browser, page, interaction, campaign, and identifier data. The Cookie Notice explains the categories and available controls.

8. Recipients and disclosures

  • Infrastructure, database, storage, monitoring, security, authentication, analytics, advertising, email, SMS, and customer-support providers used to operate the Services.
  • AI and media providers used for a workflow requested by the user or customer.
  • Connected platforms, including Google Workspace and social networks, when the workflow and permissions require the disclosure.
  • Payment providers and professional advisers for billing, accounting, legal, insurance, and compliance purposes.
  • Authorities or other parties when required by law, to protect safety or rights, or in a corporate transaction.

9. International transfers

Youanai is based in the United States. Youanai and its service providers may process personal data in the United States and other countries, which may have different data-protection laws from your country.

10. Retention and deletion

Retention periods vary by data type, product, account status, customer instructions, security needs, provider settings, legal obligations, and dispute requirements. Disconnecting a connected service does not automatically delete content previously stored in Youanai.

Account and data deletion requests may be sent to [email protected]. Youanai may retain records where required or permitted for security, fraud prevention, billing, legal compliance, and the establishment or defense of legal claims.

11. Security

No method of internet transmission or storage is completely secure. If you believe your account or personal data has been compromised, contact [email protected].

12. Your privacy rights

Depending on your location and applicable law, you may request access, correction, deletion, restriction, objection, portability, or consent withdrawal. You may also complain to a privacy regulator. U.S. state laws may provide rights to know, correct, delete, obtain a copy, opt out of certain sale, sharing, targeted advertising, or profiling, limit certain sensitive-data uses, appeal a denial, and use an authorized agent where the law applies.

Send requests to [email protected]. Youanai may verify your identity and authority, apply legal exceptions, retain records required by law, and explain a denial or appeal method where required. Youanai will not unlawfully discriminate against you for exercising a privacy right.

13. Children

The Services are not intended for children under 13, and Youanai does not knowingly invite them to create accounts. Users must be at least 13; anyone under 18 needs permission from a parent or legal guardian.

If you believe Youanai collected personal data from a child under 13, contact [email protected]. Youanai will investigate and delete or otherwise address the data as required. If Youanai has actual knowledge that it collected personal data from a child under 13, additional obligations may apply, including under the U.S. Children's Online Privacy Protection Act (COPPA).

14. Sensitive data and automated decisions

Do not submit credentials, authentication codes, full payment-card data, government identifiers, protected health information, precise location, or other highly sensitive or regulated data unless Youanai has expressly approved the applicable service and contract in writing.

AI assists with content and workflow output. Users are responsible for reviewing output and decisions before relying on them or taking an external action.

15. Changes and contact
